VAT Registration Checklist for Small Businesses

Do I Need to Register for VAT?

VAT registration is mandatory in the UK once your taxable turnover exceeds the VAT threshold, which is currently £90,000 in any rolling 12-month period. You can also register voluntarily if your turnover is below this threshold, which can be beneficial if you work with VAT-registered businesses.

Use this checklist to make sure you have everything in place before and after registering for VAT.

Before You Register — Things to Check

  • Check your turnover — calculate your taxable turnover for the last 12 months. If it has exceeded £90,000, you must register immediately. If you expect it to exceed £90,000 in the next 30 days alone, you must also register
  • Confirm your business type — sole traders, limited companies, partnerships and LLPs can all register for VAT. Make sure you know which entity is registering
  • Check if your goods or services are VAT-exempt — some goods and services are exempt from VAT (e.g. financial services, education, healthcare). If all your supplies are exempt, you cannot register for VAT
  • Decide on your VAT scheme — consider whether the Standard VAT Scheme, Flat Rate Scheme, Cash Accounting Scheme, or Annual Accounting Scheme is most suitable for your business
  • Get your Government Gateway login ready — you will need a Government Gateway user ID and password to register online via HMRC

Information You Will Need to Register

  • Your business name and trading address
  • Your business contact details (email, phone)
  • Your National Insurance number (for sole traders) or company registration number (for limited companies)
  • Your Unique Taxpayer Reference (UTR)
  • Bank account details for your business
  • Details of your business activities and the goods or services you supply
  • Your turnover figures for the last 12 months
  • The date your turnover exceeded (or is expected to exceed) the VAT threshold — this becomes your effective date of registration

How to Register for VAT

  1. Log in to your Government Gateway account at gov.uk
  2. Navigate to VAT registration and complete the online form
  3. Submit your application — HMRC will process it and send your VAT registration certificate (VAT4) to your registered business address
  4. Your VAT registration certificate will confirm your VAT number and your effective date of registration

Most VAT registrations are processed within 10 working days, though it can take longer during busy periods.

After You Register — Your VAT Checklist

  • Display your VAT number — add your VAT number to all invoices, receipts and your website
  • Start charging VAT — from your effective date of registration, you must charge VAT on all taxable supplies at the correct rate (standard 20%, reduced 5%, or zero-rated 0%)
  • Set up VAT record keeping — keep accurate records of all sales and purchases, including VAT amounts. HMRC requires you to keep VAT records for at least 6 years
  • Register for Making Tax Digital (MTD) — most VAT-registered businesses must use MTD-compatible software to keep digital VAT records and submit VAT returns
  • Know your VAT return deadlines — VAT returns are usually submitted quarterly. Your first return period will be confirmed on your VAT registration certificate
  • Set aside VAT collected — remember that VAT you collect from customers belongs to HMRC. Set it aside in a separate account to avoid cash flow issues at payment time
